22. QUICKBOOKS ONLINE INTEGRATION TERMS
Effective for the QuickBooks integration: 23 July 2026
This section applies when you ask The Digital Firm to connect to, access, configure, automate, report on, or otherwise provide bookkeeping-related services through Intuit QuickBooks Online (the “QuickBooks Integration”). It supplements the other provisions of these Terms. If there is an inconsistency about the QuickBooks Integration, this section applies to the extent of that inconsistency.
22.1 Authority and authorisation
By connecting a QuickBooks Online company, you confirm that you are authorised to act for that company and to grant the requested access. You authorise The Digital Firm to use the permissions you approve through Intuit’s OAuth authorisation process solely to provide the services you request. We do not ask for or store your Intuit password.
22.2 Permitted bookkeeping functions
Depending on the scope you approve, the QuickBooks Integration may retrieve company information, preferences, chart-of-account data, customers, suppliers, products and services, and transaction data; review, create, or update bookkeeping records such as invoices, bills, expenses, credits, deposits, transfers, journal entries, and payments already recorded in QuickBooks; prepare reports, reconciliations, summaries, or exports; and perform other actions you expressly request.
Our current integration uses the QuickBooks Online Accounting API. It is not a payment-processing service, does not use the QuickBooks Payments API, and is not intended to collect or store full payment-card details.
22.3 Your responsibilities and approvals
You are responsible for ensuring that the information and source documents you provide are accurate, complete, lawful, and properly authorised. You must review material account classifications, reconciliations, reports, journals, payments, lodgements, and other financial decisions before relying on or approving them. You remain responsible for appropriate internal controls, user access, approvals, separation of duties, record retention, and compliance with applicable accounting, tax, employment, and other laws.
Unless separately agreed in writing with an appropriately qualified professional, the QuickBooks Integration and related outputs do not constitute tax, legal, audit, investment, or financial advice.
22.4 Data use and privacy
We use QuickBooks data only to provide, secure, support, and improve the services you have requested. We do not sell QuickBooks data, use it for advertising, or disclose it to unrelated customers. Our collection, use, storage, disclosure, retention, and deletion of QuickBooks data are described in our Privacy Policy.
If you expressly enable an artificial-intelligence-assisted workflow, only the data reasonably required for that workflow will be processed and we will apply appropriate contractual and technical safeguards to the provider.
22.5 Security and credentials
We use reasonable administrative, technical, and organisational safeguards for the QuickBooks Integration. OAuth tokens and any stored QuickBooks data are protected using appropriate access controls and encryption at rest or secure operating-system credential storage, and are not intentionally placed in public repositories or source control.
22.6 Intuit as a third-party provider
QuickBooks Online is provided by Intuit Inc. Your use of QuickBooks remains subject to Intuit’s terms, privacy statement, availability, subscription requirements, and developer policies. The Digital Firm is an independent service provider and is not sponsored, endorsed, or certified by Intuit. QuickBooks and Intuit names and marks belong to their respective owners.
22.7 Availability and changes
The availability and operation of the QuickBooks Integration may be affected by Intuit outages, API limits, security requirements, subscription changes, or changes to Intuit’s products, permissions, or policies. We may modify, suspend, or discontinue affected functionality where reasonably necessary for security, compliance, or technical reasons.
22.8 Disconnection and termination
You may disconnect the QuickBooks Integration or revoke access through Intuit at any time. Once access is revoked or our services end, we will stop accessing the connected company, revoke or securely delete credentials under our control, and retain or delete exported data in accordance with our Privacy Policy, legal obligations, and any agreed records-management requirements.
22.9 Liability
The disclaimers and limitations of liability elsewhere in these Terms also apply to the QuickBooks Integration. We do not guarantee that data supplied by you or Intuit is complete, current, or error-free, or that automated classifications, reports, or reconciliations will produce a particular accounting, tax, commercial, or regulatory outcome. Nothing in this section excludes rights that cannot lawfully be excluded, including applicable rights under the Australian Consumer Law.
22.10 Support
Questions about the QuickBooks Integration, account access, or data handling can be sent to hello@thedigitalfirm.com.au.
